The site changes. The knowledge moves with it.
Systems move, process knowledge does not. Omnora captures decision logic and exceptions at the releasing site while you still have access. From day one of cut-over, the receiving team works with runbooks, training and AI chat in its own language.

In short
- 1Offshoring moves work to distant countries, nearshoring to nearby ones. Either way, the systems move, the process knowledge does not.
- 2According to Fraunhofer ISI, seven out of ten reshoring decisions are due to quality problems at the new site.
- 3Omnora captures the knowledge at the releasing site while access still exists and translates it into the receiving team’s language.
- 4The receiving team starts with runbooks from day one of cut-over instead of months of shadowing.
“Who explains the exceptions to the new team once the old site has closed?”
The situation
Processes move to Eastern Europe, Asia or a shared service centre. Process documentation describes the standard case. The why, the escalations and the customer specifics stay with the previous team.
The window is tight
Between decision and handover there are only a few months. The previous team is being reduced at the same time.
Documents and language fall short
Process descriptions lack decision logic, and the new team works in a different language.
Hypercare drags on
Questions travel by email and phone across time zones. Errors and delays eat into the business case.

Three common answers. None carries the ramp-up.
How it usually goes
Not in the plan
The transition plan manages systems, dates and costs. Expert knowledge is not a line item.
With Omnora
Knowledge as a milestone
Capture is tied to your transition milestones, before the team is released.
How it usually goes
Shadowing
The new team runs in parallel. Expensive, time-limited, and what sticks is down to chance.
With Omnora
Runbooks from day one
No months of parallel operation. The AI captures exactly what the new team needs.
How it usually goes
Externally written SOPs
Flowcharts show the standard case, not the escalation. And they are in the wrong language.
With Omnora
Decision logic in 140 languages
Exceptions, escalation routes and customer specifics, translated and voiced in 50+ languages.
The business case of the move stays intact.
Omnora captures the knowledge before the move and makes the new team independent sooner.

Interview the current team
The AI asks about special cases, escalations and customer specifics. Work instructions, flowcharts and process databases are added.

Provide runbooks and training
Standard case and exception separated, contradictions resolved. Runbooks and video training in the target site’s language, via SCORM into the LMS.

Hypercare
Become independent with the AI chat
The new team asks in its own language and gets validated answers with sources. Updates reach the LMS without re-import.
Receiving team
The AI asks for the rule behind the rule.
Process documentation describes standard cases. The AI interview asks about tolerances, exceptions and reasons, exactly the knowledge that is missing at the new site.
- Separates the standard case from the exception
- Resolves contradictions before the team changes
- Takes the releasing team little time, no preparation

Questions about nearshoring and offshoring
When should knowledge transfer start in a relocation?
Before the releasing team is let go, while you still have access. Ideally, an initial inventory already feeds into the transition plan.
Offshoring or nearshoring: what is the difference?
Offshoring moves tasks to more distant countries, often with a different time zone and language. Nearshoring moves them to nearby countries with little time difference. For knowledge transfer the difference is secondary: what matters is that process knowledge is captured before cut-over.
What is a runbook, and what is a cut-over?
A runbook is the operating manual for day-to-day work: standard procedure, exceptions, escalation routes and contacts. Cut-over is the point at which responsibility for a process passes to the receiving team.
In which languages is the content available?
Translation and subtitles in 140 languages, voice-over in more than 50 languages.
Does this also work when outsourcing to external providers?
Yes. Runbooks, training and AI chat can be provided specifically for the receiving team.
What if the releasing team is not very motivated?
An AI interview takes about 30 minutes and needs no preparation. Many professionals experience it as recognition of their expertise.
What about data protection?
TISAX certified and GDPR compliant, hosted in ISO 27001-certified data centres in Germany, processed in the EU, no data transfer to the US. Customer data is never used for model training. You control access rights per site yourself.
When is your cut-over?
In the transfer assessment we clarify in 30 minutes which process knowledge needs to be captured before the move. Free of charge, no preparation needed.
