Knowledge transfer is the passing of knowledge between people, roles, or teams, typically from experienced knowledge holders to successors, new team members, or entire departments.
The classic route is personal: onboarding by colleagues, mentoring, handover conversations. It works, but it doesn’t scale. And it fails when time runs out or the person is already gone. Departed experts then not infrequently return as consultants, at two to three times the day rate (HBR).
Systematic knowledge transfer decouples the knowledge from the person: it is captured once, for instance through an AI expert interview, and then delivered in multiple formats, from handover documents and knowledge articles to playbooks, video training, and context for internal AI assistants. The effect is measurable: customers report typically 15–30% shorter ramp-up time, because successors learn the why behind each step from the start.
